Gallery Assistant at Vardaxoglou

Vardaxoglou is seeking a highly organised Gallery Assistant to help manage the front desk and provide essential administrative support at the gallery. This is an opportunity to contribute to various aspects of a growing contemporary art gallery, working closely with artists, collectors, and institutions.

Days: Wednesday – Saturday, 4 days per week (with regular extra days and hours for openings, events and art fairs)

Standard Working Hours: 10.30am-5.30pm

Pay: £30–35k (pro-rata) dependent on experience

Roles and Responsibilities 

Gallery / office management

-       Managing front of house and day to day running of the gallery

-       Opening and closing the gallery

-       Greeting guests and giving information artworks and exhibitions

-       Management of gallery facilities, including IT and gallery stationery and supply levels

Digital

-       Image management and filing in Drive

-       Website management and updating

-       Sending gallery newsletters

-       Creating ArtLogic sales links / sales PDFs

-       Updating all online instances & profiles relating to Vardaxoglou

-       Social media management

Stock/Consignments

-       Putting new artwork into stock on ArtLogic

-       Assist with managing gallery storage and liaise with warehouse management team

-       Labelling artwork when it arrives at the gallery

-       Regular stock checks to ensure up-to-date and comprehensive stock management

Logistics

-       Assist our logistics coordinator with all aspects of gallery, artist, and client shipping and storage, including to and from collectors and institutions

-       Making sure all shipping and locations information is recorded and tracked in Artlogic

-       Assisting with coordinating exhibition and art fair installation

-       Creating and keeping on top of paperwork

-       Coordinating photography and liaising with photographer

-       Packaging artworks and liaising with technicians

Other

-       Producing Certificates / Proof of Insurance documentation for clients as requested

-       Management of consignments and loans to/from external galleries and museums, including working closely with the Consignee/Consignor for proof of insurance and planning necessary artwork and staff travel arrangements

-       Working occasional evening openings and extra days especially during art fairs or events

-       Proficiency in the use of IT systems including Artlogic, Microsoft Office, Word and Excel

-       Proficiency in Photoshop and InDesign

-       Be able to show initiative regarding system improvements and be willing to maintain administrative systems

-       Comfortable invigilating a commercial gallery and be able to cover the gallery in the absence of other staff members

-       Be able to work under pressure to meet tight deadlines

-       Ability to pay close attention to visual and numeric detail
